Supporting the smooth running of a busy legal practice
A respected law firm in Sandgate is seeking a highly organised Office Coordinator to support the day-to-day running of the office. This is a hands-on role where you will work closely with Directors and play a key part in keeping operations, administration, and people processes running smoothly.
About the Role
You will be responsible for coordinating office operations, supporting HR and marketing activity, and ensuring the firm runs efficiently behind the scenes. This role suits someone proactive, adaptable, and confident juggling multiple priorities in a professional services environment.
Key Responsibilities
Office & Administration
- Oversee smooth day-to-day office operations
- Manage supplies, vendors, and office services
- Coordinate meeting rooms, travel, and logistics
- Support Directors with general administration
- Maintain systems, records, and office documentation
Systems, Compliance & Process Support
- Support AML processes alongside finance
- Assist with IT systems and practice management tools
- Maintain templates, precedents, and document control
- Oversee safe custody of client documents
- Help improve internal processes and workflows
Marketing & Communications
- Support marketing initiatives and firm submissions
- Assist with newsletters, blogs, and client communications
- Update website content and social media where required
- Coordinate events and client engagement activities
- Maintain marketing databases and records
HR Administration
- Support onboarding and offboarding processes
- Maintain employee records and HR documentation
- Assist with recruitment coordination and interviews
- Support performance review cycles and reporting
- Track CLE requirements and training compliance
Skills & Experience
- Experience in Office Coordinator, Admin, or similar role
- Strong organisation and time management skills
- Confident with Microsoft Office and general systems
- Experience with Actionstep and Xero essential
- Exposure to legal or professional services preferred
